The Recall Work List helps you in scheduling recall appointments, which are typically used for cleaning and prophy exams. See Recalls for information on setting patients up for recalls.

 

When you are ready to schedule recall appointments, go to the Lists menu and click Recall List.

The date in the Need Recall as of field is the eligibility date calculated from the Schedule Appointment Every.... field in the patient's record. By default today's date is selected. The program searches for patients who are eligible for recall appointments as of the date chosen in this field. If no names appear, choose another date.

You might want to select a date a week or so from today to start scheduling appointments. If a patient is eligible to return today for an appointment, you may not have openings and he or she will have to wait a week or so before getting in.

 

You can view the patient's information from this screen, view his or her insurance information, view or prepare notes in this screen. In addition, you can schedule new appointments right here. , by clicking the options in the Options bar. Patient information and notes can be accessed by right-clicking the main part of the screen and selecting from the Speed menu.

 

 

Recall Notes

To open the Recall Notes screen, double-click a patient name in the Recall Work List, click View Note in the Options bar or right-click the Recall Work List and choose View Note.

This is a screen in which you can enter notes relating specifically to recalls. This information is not shown anywhere else in the program.

 

To add a date and time stamp, either press CTRL + D or right-click the note and choose Insert Date and Time.

 

Enter notes that relate to recall appointments for the selected patient. For example, if Grandma is the only person in the household who remembers appointments, enter a note saying "Speak only with the Grandma. No one else remembers." This note will help you remember the next time recall appointments need to be set.

When finished with the note, click the red X in the upper right corner of the Recall Note screen.

 

Scheduling Recall Appointments

To schedule a recall appointment while in the Recall Work List, click Schedule Now in the Options bar.

 

In the Create New Recall Appointment screen, the recall procedures are already selected, based on the preceding appointment. You can change this list, but be sure the selected procedures are recall-eligible ones or the entry will not be removed from the Recall Work List after the appointment is set.

 

With the patient on the phone, you can schedule the appointment. To schedule the appointment for the eligibility date, click Schedule Now. The Scheduler is opened to the date of eligibility and the appointment is created. Look for it at the top of the Hygienist column. If the time is not correct, click and drag the appointment to the correct time. If the date is not correct, right-click the appointment and select Add to Clipboard. Open a new date in the Scheduler, click and drag the appointment from the upper left corner of the Scheduler to the correct time on the new date.

 

If you are in the Create New Recall Appointment and realize that you cannot schedule an appointment right now, click Schedule Later. You are returned to the Recall Work List.

 

If the patient should be removed from the recall list and not have anymore recall appointments, click Never Recall This Patient.
