Service Code List

The Service Code List needs to contain all service and accounting codes used by the practice. Standard ADA codes can be purchased and imported into DentiMax. Call your independent DentiMax dealer or DentiMax directly for more information.

 

To create a new code:

 

Quick Steps

1.

Go to the Lists menu.

 

2.

Click Service Codes.

 

3.

Click New Service Code.

 

4.

Enter a code or let the program create it based on the description.

 

5.

Enter a concise description of the new code.

 

6.

Indicate the type of code it is by choosing from options in the drop-down list.

 

7.

Some types of service codes require or allow more information or options. When applicable, these fields pop up in the screen. Indicate as much information as possible for the code. See below for more in depth information on these fields.

 

8.

If the code type is Fee for Service, a Fee Amounts tab appears to enter amounts for each established fee schedule in the program. Open the Fee Amounts tab and enter applicable amounts for each fee schedule.

 

9.

Open the Charting tab.

 

10.

Enter applicable information here if the code relates to charting.

 

11.

Click Save Changes to save the code.

 

Full Instructions

To create or edit service codes, go to the Lists menu and click Service Codes. If you have codes of your own, or want to edit the description of an existing code, double-click the code and, in the Service Code Entry screen, change the description.

 

The Service Code List will contain all standard service codes needed for dental services. If you did not purchase the ADA Codes from DentiMax (for a small fee), you may have to enter all these codes yourself.

The amount showing in the Amount 1 field is that assigned to the first fee schedule in the Fee Schedule list (Amount 1=fee schedule 1) You can change the fee schedule amounts shown here by clicking Customize Screen, removing field Amount 1 and adding the Amount field that matches the fee schedule you choose. Unless you have very few fee schedules or a great memory, you may have to go to the fee schedule list to identify the field you want here.

 

New Service Code

To create a new service code, click New Service Code.

In the Code field, create or enter a standard code for this new record.

 

Enter a concise description of the code.

 

Indicate the type of code by choosing from the drop-down box.

 

Some of the code types require or use additional fields that are not shown when the screen first opens, namely Fee for Service, Adjustments, and Conditions. These are addressed separately below.

 

Fee for Service Type

Five new fields pop up when you choose a Fee for Service type, as well as a new Fee Amounts tab.

 

The Category field relates to service classes. If no service classes have yet been created, you can create one now by clicking the Category field and pressing F8 or by clicking the Lookup icon and, in the Service Class list screen, click New Service Class.

 

Fee-type codes can also be assigned an appointment length, which is reflected in the Scheduler when this service code is added to a patient's appointment.

 

The Treatment Area can be indicated if this code relates specifically to one portion of the mouth.

 

Indicate whether this code is or can be part of a normal recall procedure by clicking Recall Transaction.

 

If insurance should not be billed for this service code, click Do Not Bill Insurance.

 

Adjustment Type

Adjustments can be marked to let you enter positive amounts. Click the Allow Positive Amount box. When this box is marked, if your adjustment is negative, you must enter a minus sign before a negative amount.

 

Condition Type

The Treatment Area can be indicated if this code relates specifically to one portion of the mouth.

 

Fee Amounts tab (Fee transactions only)

Open the Fee Amounts tab. This tab contains all 120 available fee schedules. Those that have labels are the fee schedules set up in your program. Here you can enter the amount to be charged for each fee schedule in DentiMax. If the service code is not part of a particular fee schedule, skip that schedule in this tab and leave the amounts field blank.

 

Charting tab

In this tab, make choices that govern how information concerning this service reflects in the patient's chart.

 

Choose the Draw Type, color to be displayed, and indicate whether to mark the affected tooth as missing.

 

 

Click Save Changes or press F3 to save the code.

 

Customizing

The columns displayed in the Service Code List screen are customizable. See Customizing a Screen.

 

In addition, the filters can also be changed -- added to, removed, etc. See Customizing Filters.
